FedEx Express Canada is looking for a Vehicle License Coordinator (Hybrid position).

Summary

To plan, organize, coordinate, monitor and ensure licensing, special permits and record keeping requirements are met for the Fedex licensed vehicle fleet, to protect the company from non-compliance with federal, provincial and municipal regulations. Interfaces and manages licensing vendor providing supporting information and documentation, system support and invoicing validation and processing.

Responsibilities

  • Develops and implements procedures and controls for registration, licensing and provincial insurance of all Canadian vehicles. Co-ordinate fleet licensing and registration with licensing vendor.
  • Monitors renewal system and computer output pertaining to licenses, operating permits and vehicle locations to ensure accuracy and reliability of information. Updates registration fees and provincial insurance rates on a continual basis.
  • Develops necessary contacts and interfaces with federal, provincial and municipal regulatory authorities to expedite licensing, insurance and registration of vehicles. Stays current with provincial and regulatory changes.
  • Ensures that record keeping is in compliance with regulatory and internal requirements. Monitors and modifies as required with field input in the truck pre/post trip inspection reports in compliance with both provincial and Fedex requirements. Trains station personnel on proper document completion procedures and on at-station record keeping guidelines. Acts as a resource for station personnel.
  • Ensures prompt initial licensing (provincial, municipal) and renewals of same for vehicle licensed by Fedex and coordinates vehicle licensing with outside licensing services as necessary. Coordinates sales tax and licencing fees for transfer of vehicles between provinces. Coordinates through field management personnel the completion of emission testing and annual mechanical inspections in a timely manner.
  • Interfaces with Fedex vehicle maintenance, Sr. Fleet manager, operations managers, regulatory authorities, accounting, legal, risk management departments in order to resolve licensing and special permitting problems. Provides reports or support as required
  • Obtains fuel tax permits and vehicle fuel decals for Fedex vehicles. Updates accounting with current fuel tax related records and fuel tax reports for vehicles travelling between provinces. Processes requests for payment/refunds and allocates back to actual cost centres.
  • Provides government agencies with copies of carrier safety condition and performance. Analyzes the report to identify risks and opportunities.
  • Assists in the conceptual development and enhancement of computer systems required to ensure that new and existing vehicles are registered, licensed, provincially insured and registered and legal to operate
  • Coordinates with dealers and lessors to monitor the licensing of Fedex vehicles to ensure Fedex operational requirements and licensing regulations are met on a timely basis and are cost effective

Required Knowledge Skills and Abilities

  • College diploma or equivalent
  • Three (3) years experience preferably related to vehicle fleet licensing.
  • Knowledge of provincial operating authorities and motor vehicle safety regulations.
  • Knowledge of regulations and experience working with applicable governmental departments and agencies.
  • Proficiency with Microsoft Office software, including Excel, Outlook, Powerpoint, & Word
