IMAGING/MAIL CLERK – JOB DESCRIPTION

RESPONSIBLE TO: Executive Assistant

FUNCTION: Responsible for performing the imaging and mail processing functions for The Resource Center’s facilities. Provides coverage to Administrative Offices Reception Desk, as needed or assigned.

SPECIFIC DUTIES:

  • Responsible for agency-wide imaging duties in a cost-effective and efficient manner, including but not limited to:
  • Photocopying,
  • Collating,
  • Assembling,
  • Binding ,
  • Communicating with agency-wide staff regarding copying requirements,
  • Prioritization of imaging jobs, in conjunction with supervisor or designee,
  • Maintaining inventory of a variety of departmental forms, training materials and other manuals and documents,
  • Distribution of finished product to customer(s).
  • Duplicates, collates and assembles special project manuals and/or handouts on an agency-wide basis, including but not limited to:
  • Human Resources and Recruitment -insurance packets, Pre-Hire packets, Job applications, etc.
  • D&T- All forms for clinic and School-Based Health Clinic (SBHC) usage.
  • QA/QI- copy and collate monthly packets.
  • Public Relations/Marketing – Copy, stuffing and distribution of mass mailings for Special Events and other TRC sponsored events/public relations/marketing activities.
  • Agency-Wide Policies and Procedures, OPWDD Incident Reporting Manual, and other manual distributions and all general information distributions (i.e. Employee Roster, Agency Phone Listings, as requested.
  • Agency Outcomes Projects as assigned.
  • Responsible for Agency mail and postage duties, including but not limited to:
  • Handles and manages postage of all outgoing Agency mail,
  • Ensures upkeep of postage equipment and adequate postage availability.
  • Performs routine upkeep of machines, maintains necessary records, and ensures adequate inventory of supplies for imaging units and the postage equipment. Enters related requisition(s) in ARM for proper approval(s).
  • Arranges repairs and routine maintenance of imaging room equipment with the MIS Department.
  • Performs switchboard/reception coverage as needed, providing coverage for lunch and other breaks and vacations for the Administrative Office Reception area. Duties include, but are not limited to:
  • Answers and routes calls,
  • Greets, monitors and directs visitors coming to the Administrative Offices at the Dunham Avenue secure building site, linking them with appropriate assistance as needed,
  • Sorts U.S. and interoffice mail for the entire agency.
  • Assist Scanning Department with scanning prep during Imaging/Mail Room downtime.
  • Other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES: Must possess strong organizational skills, including the ability to effectively manage multiple projects in an efficient and timely manner. Excellent communication skills, including the ability to deal effectively with others both within and outside of the organization. Sound judgment, including an ability and willingness to work with minimal supervision, and strong adherence to the principles of confidentiality. Basic office administration and clerical skills. Physical condition or reasonable accommodation(s) commensurate with the demands of the job, including the ability to lift, is essential.

MINIMUM QUALIFICATIONS: High School Diploma or GED plus one (1) year of experience in an office setting.
