Job description: Due to rapid growth within the business, we are currently recruiting for a Project Coordinator to join our vibrant and dynamic team!

The Project Coordinator role is there to support the Project Manager in the delivery of the project on time, within budget and to the highest standard of quality ensuring that all requirements of OCU, the client and other key stakeholders are met.

Duties of the Project Coordinator:

  • Liaise with field-based staff to ensure information is received for permitting
  • Working with Street works to ensure applications for permits/notices are completed based on pre-site survey information to ensure that permit is approved prior to works commencing as per the project schedule
  • Ensure registration of permits on using measure received from site supervisor or sub-contractor
  • Effective planning and prioritisation of daily activities associated with operational delivery for direct teams and sub-contractors in order to achieve a minimum of given amount of revenue weekly per team
  • Complete specialist application forms for permits such as TTROs and ensure any necessary DFEs/VOs have been approved by the client
  • Collate information from site for finance to process measures.
  • Deal with client queries promptly and effectively, escalating to relevant stakeholder where appropriate
  • Assist with collating all as-built information and updating internal and client systems as required.
  • Timely resolution of ‘As Built’ rejections
  • Process PIA NAs/SPOs in line with BTOR PIA guidelines
  • Organising routine stock takes, ordering additional materials where required
  • Collate feedback from site agents via discussions; H&S Audits, plant checks etc. Assist site supervisors to ensure this information is uploaded to the correct system in a timely manner and that any relevant tasks are actioned promptly.
  • Assist site supervisors to ensure that the correct labour/plant/materials are on site as required
  • Where applicable, update client systems in real time
  • Provide the Project Manager and key stakeholders with information with regards to changes, delays, and mitigations
  • Retrieve utility stats for areas for site supervisors and sub-contractors when required
  • Report internally and for the client information such as Key Performance Indicators data for Service Review Meetings as required
  • Track daily permit report to ensure that breaches do not occur and minimise exposure to FPN risk.

  • Able to work in a fast paced, changing environment
  • Good people management skills, likes to interact with people
  • Interpret data accurately that is presented and use appropriately in decision making
  • Good communication skill, both written and verbal
  • Good IT skills, competent with the use of internet, email and Microsoft Office (Word, Excel, Outlook)
  • Motivated and enthusiastic, able to work independently using own initiative as well as part of a dynamic team
  • Good organisational skills with the ability to prioritise effectively and achieve deadlines
