PERMITS COORDINATOR

DIVISION: DESIGN & CONSTRUCTION

POSITION CODE: EXEMPT

SUPERVISES: PERMITS AND UTILITY COORDINATION

REPORTS TO: EXECUTIVE VICE PRESIDENT AND OTHER PROJECT STAFF AS ASSIGNED

EXPERIENCE: One or more years of experience in the field or in a related area. Work experience in design, construction, and/or with a regulatory agency regarding utilities and/or building permits preferred.

EDUCATION: High School or equivalent. Associates or Bachelors’ degree in Engineering, Architecture, Construction Management, Administration or a related field is desired. A combination of education and work experience will also be considered in lieu of a degree.

SKILLS: Intermediate knowledge of Windows/Excel/PowerPoint/Outlook/Word. Basic knowledge of Prolog or other Project Management software. Basic knowledge of AutoCAD, Suretrack and Microsoft Project desired. Experience with any online submission platforms for various permitting and authorities having jurisdiction is desired.

CERTIFICATE/LICENSE: OSHA 10 hour certification required (must obtain within 3 months of hire).

ESSENTIAL JOB DUTIES: Duties include, but are not limited, to the following:

  • Reviews, analyzes, and submits various submission packages to the various Authorities Having Jurisdiction. This includes drawings, applications, waivers, payments, corrections, contracts, and any other required information.
  • Reviews, analyzes and reports to assigned supervisor, client, and/or project team the status, ongoing communication, problems and discrepancies with submissions, applications, contracts and reports in a timely manner.
  • Provides direction and recommendations to the internal staff, client, and project team or proper procedures and requirements related to the submission requirements of the various Authorities Having Jurisdiction.
  • Maintains detailed records of correspondence between various Authorities Having Jurisdiction, the client, and members of the project team.
  • Maintains communication with clients, Authorities Having Jurisdiction, and project team members on a daily or an as-needed basis depending on the urgency and nature of the scope of work.
  • Produce weekly and monthly reports detailing the status of submission documents with the various Authorities Having Jurisdiction.
  • Maintains internal time sheet of worked hours for duties performed and coordinate with internal staff on billing clarifications and submissions.
  • Assist supervisor and supported staff with review of documents for accuracy and completeness prior to submission.
  • Coordinates and attends meetings the supervisor, client, and/or project team with the various Authorities Having Jurisdiction as required.
  • Conduct meetings on behalf of the client and project team with Authorities Having Jurisdiction.
  • Prepare schedules and budget estimate forecasts for the estimated fees associated with the submission requirements of the Authorities Having Jurisdiction.
  • Assist the supervisor or any other internal support staff with other administrative duties as assigned.

OSHA/SAFETY

  • Monitors the health, safety and welfare of everyone on jobsite and enforces compliance of project specific safety plan (if applicable) or Safety and Local, State and Federal Regulatory policies.
  • Monitors all relevant sections of the Health and Safety Management plan are implemented and understood.
  • Ensures accident/incident investigations are conducted by appropriate party to determine the cause and takes appropriate corrective action as required.

OTHER JOB DUTIES: Duties include, but are not limited, to the following:

  • Ensures all Grand Canyon Development Partners core values are implemented and applied.
  • Maintains daily communication with supervisor on progress of areas of responsibility.
  • Assist in maintaining accurate budgets of assigned work and activity reports for supervisor.
  • Monitors schedule of areas of responsibility and participates in schedule meetings.
  • Promotes positive relations with internal staff, client, project team, and members of the Authorities Having Jurisdiction by dealing professionally and fairly with all team members.
  • Maintains relevant knowledge of industry through continuing education and training.
  • Working knowledge of construction equipment and techniques, drawings, and specifications, building materials and building and zoning codes and required standards applicable to discipline.
  • Represents the company with a positive attitude internally and externally at all times.
  • Participates fully as a team member, completing all requirements assigned in a timely manner.
  • Treats employees, clients, and members of the project team with courtesy and respect.
  • Acts in a professional manner at all times and maintain a harmonious work environment.
  • Performs all other duties as assigned by supervisor.
