Under regular supervision, responds to customer inquiries and educates customers on the use of the Electronic Plan Review (EPR) system. Performs various clerical duties to assist Permit Services and Building Department staff with daily activities and projects. Reports to the Permit Services Supervisor.
Specific Duties and Responsibilities
ESSENTIAL JOB FUNCTIONS
Provides information to contractors and homeowners on the permitting and inspection process utilizing excellent customer service skills.
Receives telephone and email inquiries regarding Building Department activities.
Answers questions and educates customers on the use of the Electronic Plan Review (EPR) system and how to schedule inspections using the online or voice automated system.
Responds to customer questions concerning inspection scheduling and results, and routes certain inquiries to staff as appropriate.
Schedules and cancels inspections as necessary.
Receives inquiries from customers verifying if permits were obtained to do work on properties, and forwards to staff as appropriate.
Uses computer to enter all information required to create and update contractor records.
Creates inspection sheets and prepares and prints inspection notification postcards on a daily basis to be mailed to property owners.
Verifies contractor’s records in preparation for release of permits.
Maintains contact and relays messages to inspectors in the field via phone and/or email.
Enters inspection results into Naviline as necessary.
Runs plan review reports providing permit and plan review status to contractors and property owners.
Researches permit information at the request of customers.
Uses Alchemy and/or UV Term system to verify permit history requests from contractors, property owners, and title companies.
?Catalogues EPR paper plan submittals into Excel Spreadsheet and files as appropriate.
Prepares contractors’ records for scanning, microfilming and storage.
Operates a variety of office equipment in the performance of daily responsibilities, including a computer, printers, copiers, facsimile machines, voice mail, calculator, and scanner.
Interacts and communicates daily with various groups and individuals including Building Department Staff, other city employees, contractors, law enforcement personnel, fire department personnel, and private and business property owners.
ADDITIONAL JOB FUNCTIONS
Performs other related duties as required.
Minimum Training and Experience
Requires high school diploma or GED and at least six (6) months of data entry, customer service, clerical experience, or any equivalent combination of education and experience that provides the required knowledge, skills and abilities. Must demonstrate basic proficiency in computer software applications through the completion of a skills assessment exercise.
