À quoi ressemblera votre travail quotidien :

  • À titre de membre de l’équipe ESS, notre stagiaire sera amené(e) à travailler dans plusieurs sphères et avec diverses clientèles : D’autres conseillers ESS, comités, superviseurs, employés d’usine.
  • Mettre à jour les fiches de cadenassage;
  • Assurer la réalisation des activités du plan d’action en matière ESS;
  • Assurer un rôle-conseil dans l’application des lois et règlements, des politiques et procédures de l’entreprise relatives à la SSE;

What your daily work will look like:

  • As a member of the EHS team, our intern will be required to work in several spheres and with various clienteles: Other EHS advisors, committees, supervisors, plant employees.
  • Update lockout sheets;
  • Ensure the implementation of the activities of the SSE action plan;
  • Ensure an advisory role in the application of laws and regulations, company policies and procedures relating to HSE;

As part of their duties, under the supervision of the Director of Continuing Education and Partnerships, the incumbent will be responsible for managing the internships of LaSalle College programs. In collaboration with the program manager and student coordinator, the incumbent will ensure the placement, monitoring, and communication with students, teachers, and internship supervisors, particularly for Human Techniques programs. They will also manage agreements and students in the context of workplace learning and in certain programs. Additionally, the incumbent will participate in the daily activities of the Employment, Partnerships, and Continuing Education Service.

RESPONSIBILITIES
Your main responsibilities will be:

Supporting students in developing their tools for internship preparation and workplace learning periods (CV, cover letter, interview simulation, workshop on workplace learning search strategies, etc.) in collaboration with teachers and program coordination;
Contacting and following up with potential internship and workplace learning environments and maintaining privileged relationships with our current partners and developing new placement partnership agreements;
Establishing good matches between students and internship or workplace learning environments;
Managing admission tests for selected program students;
Managing internship agreements for all relevant college programs;
Supporting and mentoring students throughout the internship placement process and during internships or workplace learning periods, analyzing causes of difficulties;
Managing student attendance or absence in workplaces;
Supporting and mentoring internship supervisors throughout the internship and in difficult situations;
Producing and updating documentation related to internships and workplace learning, in English and French;
Communicating and following up with program teachers, program management, and team leaders regarding student success in internships and workplace learning;
Keeping the client and partner database up to date on CRM and Sales Navigator;
Participating in budget monitoring and annual evaluation reports for the Ministry of Education and Higher Education for students enrolled in workplace learning programs;
Ensuring follow-up related to travel expenses and other expenses related to workplace learning and internship periods;
Assisting in the planning and organization of events and activities of the Employment, Partnerships, and Continuing Education Service (fairs, collective information meetings, open house days, networking evenings, career days, and other activities);
Collaborating on other Employment and Continuing Education Service projects (work-study alternation, Portfolios website, Service Quebec partnership);
Participating in the promotion of certain programs to prospective students and potential new workplace environments;
Any other related tasks.

REQUIRED QUALIFICATIONS
Education

Hold at least a DEC (college diploma);
1 to 2 years of relevant experience related to the job description.

PERSONAL AND PROFESSIONAL SKILLS

Understanding of the community, education, and/or health sector;
Excellent communication skills in French and English, both oral and written;
Knowledge of Office suite software (Word, Excel, PowerPoint);
Knowledge of CLARA pedagogy software (an asset);
Understanding of college teaching issues (an asset).

Key accountabilities

  • Undertake all relevant FM operational services activity
  • Undertake regular building inspections, reporting and actioning of daily tasks as a result including all demised meeting rooms and office spaces
  • Pro-actively respond to and administrate all FM helpdesk requests against SLA prioritising urgent items
  • Maintain all required administrative information including Standard Operating Documentation

Skills, Experience & Qualifications

  • Demonstrable experience delivering successful facilities management services in a corporate office environment to pre-agreed service level agreement including performance supervision of FM supply chain.
  • Ideally be working towards a professional qualification in Facilities Management (IWFM or equivalent).
  • IOSH Managing Safely certificate.
  • Demonstrable understanding of risk assessment and risk management in regards safe working practices.
  • Organised and able to manage your own time effectively and efficiently to ensure all planned and unplanned tasks are completed on time.
  • Demonstrable experience delivering high customer services to a wide range of internal and external customers
  • Able to work collaboratively as part of a small, flexible team within an intelligent client FM service model, effectively utilising FM tools to drive efficiency.
  • Good stakeholder management skills providing a positive representation of the FM department in all matters.
  • Appropriate level of oral and written communication skills to support customer service levels.
  • Problem solving skills using a ‘can do’ approach but also able to work pro-actively to avoid service issues escalating to complaints.
  • Able to support and manage change confidently and positively drawing on previous experience in similar workplace environments.
