Job description: PHILANTHROPY ASSOCIATE II– BOARD RELATIONS

The University of Maryland, Baltimore (UMB), School of Medicine – Office of Development is currently seeking a Philanthropy Associate II – Board Relations to play a pivotal role within our dynamic development team. This position reports to the Director of Campaign Planning & Programs and extends its support across various facets of our organization. As an integral part of our agile and rapidly evolving team, you will not only contribute to the continued growth and success of our institution but also experience the excitement and fulfillment of working alongside dedicated professionals who share your passion for making a difference.

Under general supervision, assists in planning, organizing, and implementing board meetings and manages board communications, recordkeeping, and activities. This position provides administrative support to the Director of Board Relations and Campaign Programs and facilitates engagement with multiple boards for University of Maryland Medicine Philanthropy. Collaborates with various staff and units within the organization, creating opportunities for potential role expansion and a wider range of responsibilities within our team.

Accomplishes responsibilities by applying specialized and theoretical knowledge, principles, and concepts of a professional discipline normally acquired through advanced education or specialized training. Utilizes independent judgment, discretion, creativity, and analytical thinking. Contributes to development and evaluation of goals and objectives. Creates solutions to ensure legal and policy compliance. May independently manage or administer programs, processes, projects, or resources.

Responsibilities include:

Primary Duties:

• Communicate to boards, institutional leadership, and invited guests for meetings and events.

• Coordinate with the Office of the Dean and institutional leaders as it relates to scheduling and board communications.

• Schedule and participate in internal planning meetings for agenda development and strategies involving board leadership.

• Schedule meetings for various boards, sub-committees, and individual board member engagement (virtual and in-person).

• Manage meeting planning and logistics to include space reservations, menu selection, A/V, parking, décor, materials, nametags/tentcards, and presentation slides.

• Maintain and track responses, meal selections, and special accomodations for board meetings and events.

• Administer online governance platform including record maintenance, meeting documentation, digital surveys, and coordination of member training.

• Prepare and distribute pre-meeting materials and post-meeting minutes.

• Maintain and update board member records, governance documentation, and databases.

• Administer budget and process vendor disbursements.

• Proactively implement process improvements to streamline operations.

• Contribute innovative ideas to enhance efficiency and effectiveness in task execution.

• Foster collaboration and teamwork by readily supporting colleagues on diverse projects, fostering a cooperative and supportive work environment.

• Other duties as assigned.

Qualifications

Education: Bachelor’s degree

Experience: Two (2) years fundraising, philanthropy, or client/customer relations experience. Prior experience with board interactions, volunteer coordination, or meeting/events organization is beneficial.

Hiring Range: $52,000 – $58,000 (Commensurate with education and experience)
