Job Responsibilities

• Check accuracy of invoices
• Input and code invoices to cost centre
• Process invoices
• Perform reconciliations including supplier statement reconciliations, accrual accounts reconciliation and more.
• Support the month-end process by providing supporting documentation for month-end journals report on Aged Payables plus other ad hoc reporting where applicable
• Match Invoices with Purchase Order (if applicable)
• Send invoices to Manager for payment approval
• Schedule payment runs based on standard company payment terms
• Verify and process employee expense claims and manage the approval and payment process.
• Update and maintain vendor database in a timely manner.
• Identify improvements to the accounts payable process.

Requirements

• BSc in Accounting, Finance, Economics, or a related field
• 5+ years of experience (ICAN membership added advantage)
• Good communication skills and reporting skills.
• Excellent problem-solving and decision-making skills.
• Proven ability to calculate, post and manage financial records
• Accurate data entry skills
• Ability to build good relationships with vendors and suppliers
• Ability to prioritise and multitask
• High level of accuracy and attention to detail
• Solid understanding of basic accounting and accounts payable principles.
• Strong finance and accounting knowledge, including experience with
• International Financial Reporting Standards (IFRS).
• Excellent verbal and written communication skills
• Intermediate computer software skills, including Excel and Accounting packages

Job description: We are working with a fantastic UK brand that has an incredible focus on putting the customer first through consistency, quality, and innovation.

The accounts payable admin will be responsible for managing the Accounts Payable ledger and supporting other accounting duties.

Key Responsibilities

• Processing of supplier invoices across multiple companies.

• Utility/Council Tax –reconciling the utility bills and reconciling utility accounts.

• Prepare lead expense schedules for utilities.

• Prepare creditor’s ageing report on a weekly basis.

• Payments – make supplier payments according to cash flow and refund guest deposits in line with agreed terms.

• Purchase order – reconciliation and posting of invoice.

• Invoices – post supplier, commissions invoices on the accounting system (Xero).

• Weekly expense processing via PLEO cards.

• Assist reporting manager with VAT queries/corrections for VAT filing.

• Intercompany – maintain the intercompany ledgers and post all intercompany-related invoices.

• Recharge – raise recharge invoices for expenses incurred on behalf of the Landlord or Managing Agents.

• Month End – supplier balance sheet ledger reconciliations.

• Actively participate in monthly management accounts preparation.

• Communicate and provide all required supporting documents for the annual audit function.

The successful candidate

• Good knowledge of Accounts Payable – ideally 5 years experience.
• Good knowledge of Cash Book and Bank reconciliations.
• Reconciliation of supplier statements.
• Experience of working within a multi-departmental AP system.
• Previous experience of working in a multi-company environment.
• Comfortable working to demanding deadlines.
• Due to the nature of the business, candidates must be flexible to work outside normal office hours from time-to-time.
• Highly organized, and proactive, with attention to detail.
• Good knowledge of Excel/Microsoft/XERO
