This post sits within the Jubilee Centre for Character and Virtues, which is part of the Department of Education and Social Justice in the School of Education. The Jubilee Centre is a leading international interdisciplinary research centre, the biggest of its kind in the world, dedicated to research into, and developmental work in the areas, of character and virtues, in schools, professions and society at large.

It is vital that post holders have a strong commitment to the vision, aims and goals of the Jubilee Centre for Character and Virtues,

Role Summary

The post holder will be responsible for managing designated Jubilee Centre and related projects. They will:

  • Work within a specified research grant and project and contribute to writing funder reports and funding bids.
  • Operate within the requirements of the project, but also contribute to the wider work and ethos of the Jubilee Centre for Character and Virtues.
  • Set up and manage online and in-person conferences and other events.
  • Offer capacity building support and advice to linked projects and maintain good communication with project leads and other staff.
  • Coordinate activity relating to academic consultants and advisors working within the project(s).
  • Proactively seek to ensure that the Jubilee Centre’s activities address and respond to the relevant needs of those being supported, and keep up to date with issues and developments.
  • Maintain good communication with funders and report on the work of the Jubilee Centre.
  • Manage wider Jubilee Centre administration – e.g. website, newsletter and general admin support.

Main Duties

  • Responsible for the delivery of one or more projects through the provision of significant and high level project management support. This may include some or all of the following:
  • supporting project leads to develop project plans, identifying (as appropriate) key performance indicators and milestones
  • reviewing and auditing progress on projects to identify and act on improvements to effectiveness, efficiency and delivery
  • reporting on progress including the development of reporting mechanisms, writing reports (eg on project budgetary management), and presenting to appropriate meetings such as Project Board, funders, or to other key stakeholders
  • providing executive support to Project Boards, work streams and working groups as required; setting agendas, collating and distributing papers and minutes and ensuring follow up action is taken
  • assessing and escalating as you deem appropriate issues and risks, including monitoring risk registers
  • stakeholder management, ensuring effective liaison with project partners, funders, Project Boards as appropriate.
  • managing project resources efficiently and effectively, including budgets, and ensure project documentation is maintained
  • Organise and manage expert panels to review project plans and outputs.
  • Coordinate the organisation of conferences/ meetings/ workshops/ dissemination events
  • Develop and deliver communication strategies for the projects, which may include developing, for example, newsletters, briefings for stakeholders and/or websites or other social media.
  • Ensure that priorities are balanced, taking action to deliver agreed deliverables against timelines.
  • Maintain an up to date knowledge of project management methodologies.
  • Source, analyse and develop insights from the data to inform evaluation and review of projects.
  • Promote equality and values diversity acting as a role model and fostering an inclusive working culture.
  • Support the University’s sustainability agenda through resource efficient working.
  • Management and administration of online portals/websites.
  • Ongoing management and administration support for the Jubilee Centre and its wider work relating to research, impact and dissemination – including website maintenance, conference and newsletter administration.

Required Knowledge, Skills, Qualifications, Experience

  • Qualified to Degree level or equivalent plus practical managerial experience or significant relevant experience demonstrated through increasingly more demanding roles evidencing the experience necessary for this role
  • Proven track record of successful project management, preferably using management tools/digital systems
  • Evidence of literacy and numeracy, with the ability to write clearly, and to produce and analyse information and data.
  • Excellent people-management skills
  • Excellent budgetary management skills
  • Highly proficient IT skills, including the MS Office and website editing software. You should be confident and able to quickly learn new IT skills and software packages as required.
  • Excellent interpersonal, communication, relationship building and influencing skills with the ability to deal confidently with a range of internal and external stakeholders/contacts
  • Excellent organisational and multi-tasking skills with a methodical approach to work and the ability to prioritise workloads in order to meet deadlines

Dimensions

Roles at this level will require a broad understanding and practical experience of an administrative or professional field which will be used to plan the running and development of services and/or lead shorter term projects or contribute to larger projects. You will work with information which needs interpretation and analysis; you will use your judgement to identify the best solution to differing problems and issues, offering recommendations for managing more complex situations. ABS is seeking highly qualified Truck Drivers/Warehouse Workers responsible for operating heavy duty closed box-trucks to make deliveries of alcoholic beverages to County licensees and County liquor stores.

WHAT YOU’LL BE DOING

As an ABS Truck Driver/Warehouse Worker, you will responsible for:

  • Performing truck operator maintenance checks and services, and paperwork
  • Operating a truck to make deliveries, following route and delivery instructions
  • Checking orders placed onto trucks
  • Unloading merchandise with the aid of a helper
  • Directing the helper to assist with unloading and movement of merchandise into customer storage area(s)
  • Verifying shipments to customers and recording discrepancies or changes
  • Filling forms for returns or credits and making adjustments on invoices
  • Collecting payments and signing copies of invoices
  • Checking shipments received at warehouse; filling orders; and working the pick-line for customer pick up
  • Operating a hand cart
  • Performing other general warehouse job duties and job related duties as required

ADDITIONAL INFORMATION:

Selected candidates for this position are required to successfully complete a pre-employment medical exam, drug and alcohol screening and lifting evaluation. Any applicant who fails these requirements may be disqualified from employment for this position.

Heavy physical effort is required on a regularly recurring basis to move alcoholic beverage products weighing up to and including 160 pounds.

Physical effort is required at times to lift, carry, and move product. This position requires, pushing, pulling and performing controlled drops of product along with related tasks; and uses forklift, cherry picker, pallet jack, powered pallet jack, hand cart and other warehouse equipment to access and transport product in the warehouse.

The individual selected for this position will be considered an Essential Employee and overtime work will be required. Essential employees must report to work during a period of general emergency or liberal leave.

To ensure a positive workplace and to comply with federal, state and County laws, the incumbent is responsible for completing mandatory trainings within the first three to six months or within the specified timeframe.

Minimum Qualifications

Minimum Qualifications

Experience: Two (2) years of experience as a Truck Driver Helper/Warehouse Worker with Alcohol Beverage Services, or two (2) years’ experience driving and helping deliver in an industrial or commercial supply industry. Also requires the ability to read and write in English and compute orders and money. An equivalent combination of education and/or experience may be substituted for the experience and/or education.

Physical Ability: Ability to move by lifting, pushing, or rolling objects weighing up to and including one hundred-sixty (160 lbs.) pounds.

License: Possession and maintenance at all times of a valid Class B or Class A Commercial Driver’s License (CDL) form the applicant’s state of residence.

Background

The University of Birmingham has a commitment to widening participation; ensuring that young people from communities who are under-represented in Higher Education are encouraged and supported to make informed choices regarding their future progression. This activity provides a ladder of engagement from Year 6 through to Year 13 and on to Higher Education.

The Undergraduate Recruitment and Marketing team and the Outreach team are responsible for the development, promotion and delivery of student recruitment and widening participation activities for the University within the UK. The team undertake a wide range of aspiration raising events and student recruitment activities (i.e. HE fairs, school and campus visits, open days and residential events) as well as undertaking a range of activities targeted at specific groups within the community as part of our commitment to widening participation.

This is an exciting role in a busy and fast-paced team. This permanent post will play a key role in supporting the University’s widening participation and outreach agenda and will provide specific support for the Access to Birmingham Scheme.

Role Summary

To provide proactive administrative support in the Outreach team, working as part of a team or on own initiative. You will have the ability to manage your work without needing to refer to others for most of your time. In order to flexibly use resource you may be given the opportunity to work in different areas of the department or wider University.

Main Duties

  • You will act as a point of contact to provide accurate and timely information and advice to internal and external customers and stakeholders on University processes and procedures, answering queries promptly, providing guidance and resolving queries from initial contact to resolution. This will include recognising when queries need to be referred elsewhere.
  • Regularly communicate relevant information to students, staff and external contacts.
  • Provide administrative support for diary or event planning.
  • Process data (which may be financial, HR, student-related or other), monitoring accuracy, chasing up missing information, and escalating any issues as appropriate.
  • Use a variety of complex University systems and processes to research, manipulate, analyse and interpret sets of data, and produce routine reports.
  • Maintain working relationship with key stakeholders, fielding queries, receiving and dealing with any disputes or complaints and resolving promptly.
  • Offer advice and support to others on area of activity.
  • Review processes and tasks and proactively offer suggestions for improvement and sharing best practice as appropriate.
  • As required, provide a professional secretarial service to relevant committees and meetings.
  • General financial support for the department, including raising purchase orders and recording transactions on the University’s finance system.
  • Working directly with Worklink to support the employment of student ambassadors and mentors.
  • Supporting student tracking through several of the Pathways to Birmingham programmes, including destination data.
  • Supporting the DBS process and DBS checks.
  • Supporting the wider recruitment team at Open Days.
  • Supports equality and values diversity, moderating own behaviour to avoid unfair discriminatory impact or bias on others.

Required Knowledge, Skills, Qualifications, Experience

Essential:

  • GCSEs to a minimum of grade C/4 in English and Mathematics grade C minimum (or equivalent level 2 qualification).
  • Good IT skills with working knowledge of standard Microsoft Office software.
  • Ability to take responsibility for specific tasks, carrying out duties without needing to refer to others, with scope for some choice and using your own judgment.
  • Ability to work on your own initiative.
  • Ability to proactively contribute to improving processes and for proposing new ways of working.
  • Excellent communication skills, with the ability to communicate clearly and effectively with others with a wide range of stakeholders including teachers, young people, parents and university staff.
  • Well organised with the ability to prioritise work proactively, independently and as part of a team.
  • A good understanding of how to deliver excellent customer service.
  • Experience of using and maintaining complex work systems e.g. student databases/finance record systems/HR systems or equivalent, and an aptitude for learning new IT packages and systems.
  • The ability to cope with change in a fast moving, dynamic environment where change is often required immediately.
  • An understanding of the importance of equality and diversity in the workplace.
  • An understanding of data protection legislation and compliance, in particular how this applies to students under 18 years old.
  • The ability to identify and respond to equality and diversity issues in line with relevant policies and procedures and how to respond to issues in line with relevant policies and procedures.
  • Prepared to work occasional weekends and evenings where required.
  • An enhanced DBS check would be required for this post.

Desirable:

  • An understanding of widening participation in the field of education.
  • Experience of working with students.
  • Knowledge and understanding of the UK Education system.
  • Experience of working within the HE/Education sector.

Dimensions

You will not be required to line manage anyone in this role or manage a budget.

Planning and organising

You will be required to manage and prioritise a varied workload to deliver within required time frames. There is also a need to maintain an awareness of activity across the department and wider University as appropriate.

Problem solving and decision making

You will be working under the direction of a senior manager, but with the autonomy to deliver the outputs required. You will be working within the framework of existing policies, processes and procedures for the department. You will take day to day decisions on what advice to give and for responding to and resolving queries.

Internal and external relationships

This role will be liaising with internal colleagues and stakeholders, and external stakeholders as well with an expectation on maintaining good working relationships with all.
