  • Supervise and Manage Facilities Maintenance Coordinators, Day Porters and any other hourly employees assigned.
  • Supervision of all area maintenance technicians assigned to school groups by location. Monitoring of time and materials, scheduling and tracking of all maintenance related issues and repairs. Direct oversight of all repair, maintenance and special project analysis, and decisions.
  • Track and report status of open projects. Provide historical data for analyzing trends.
  • Track time, mileage, materials, tools.
  • Oversight of special projects, facilitate and troubleshoot ongoing construction and maintenance issues with schools and building services.
  • Monitor and create estimates, schedules, and timelines for new and existing project deliverables.
  • Create and build preventative maintenance processes and monitoring systems for extended life of facility related components.
  • Maintain and monitor building compliance with Building Codes & Standards for local, city, county, state, and federal agencies.
  • Travel within and outside the state as the job dictates.
  • Participate, successfully, in the training programs offered to increase the individual’s skill and proficiency related to the assignments.
  • Review current developments, literature and technical sources of information related to job responsibility.
  • Ensure adherence to OSHA and maximum safety procedures.
  • Perform other duties as delegated by Assistant Director of Projects & Facilities.
  • Follow federal and state laws, as well as company policies.

ACCOUNTABILITY PROCEDURES:

Supporting the Facilities Management team, the Facilities Assistant is responsible for the day-to-day delivery of Facilities services. This is a perfect opportunity for those who enjoy working in Facilities in a creative environment or those ready to start their career in Facilities.

This role is made for someone who loves to multitask, enjoys versatility, is customer focused and isn’t just looking to sit at a desk but rather gets stuck in to get the job done.

Our day to day is never the same, you could be looking after our helpdesk, setting up meeting rooms, completing safety walks, or raising purchase orders and work permits just to name a few. Here, we work hard but have fun doing so and enjoy a great team spirit. It is important to us that our recruit shares the same work ethos. Knowledge of Microsoft Office is essential for this role and a basic understanding of health & safety is highly desirable.

The successful candidate will be joining us during an exciting time for our business and department, so flexibility and adaptability will be key.

The position will be based either at Vauxhall Bridge Road (SW1) or Embassy Gardens (SW11) and the Facilities Assistant will be required to work at both locations. The core hours are Monday to Friday between 08:00 and 17:30 with the flexibility to work outside of these hours when required, you would be expected to work on site for this position.

We are seeking experienced Director of Healthcare Facilities Management or similar for our Life Safety Code surveyor opportunities.

Life Safety Code Surveyors review assigned functions in Environment of Care throughout the United States.

Provides general evaluation services, education, and consultation consistent with applicable Joint Commission standards, policies, and protocols.

Determines the degree of compliance with applicable standards, specifically NFPA101 Life Safety Code.

Qualifications

  • EDUCATION:
  • Bachelor’s degree in related field required, Masters’ degree in related field preferred.
  • College degree must be from accredited institutions of higher learning.
  • Eight years of hospital experience in facilities management, including at least five years in a management position in engineering, facilities management, hazardous materials and waste management, emergency preparedness, biomedical equipment, and/or utility systems as well as experience as the organization’s **Safety Officer.
  • Knowledge of Joint Commission Environment of Care standards including the Life Safety Code (NFPA101), the Health Care Facilities Code (NFPA 99), and other relevant NFPA standards and direct involvement with a minimum of two Joint Commission surveys
  • Specialized knowledge of building systems, utility systems, and fire protection systems (smoke detection and sprinklers).
  • Certification/Licensure/Registration: Current certification/licensure/registration in a field related to plant, technology, and safety management (i.e., Certified Healthcare Facility Manager (CHFM), Certified Healthcare Safety Professional (CHSP), Healthcare Environmental Manager (HEM), Certified Industrial Hygienist (CIH), Certified Safety Professional (CSP), Professional Engineer (PE) or able to attain within one year of hire.
  • Must be able to lift 25 lbs., climb stairs and ladders.

*Candidates interested in part time positions must be available to work two weeks (.48 FTE) or three weeks (.7 FTE) per month, and must provide three or four weeks of availability for scheduling purposes. Full time is also available.

We are looking to recruit a Facilities Assistant in a dynamic role based at our Leeds office. You will be responsible for providing support to ensure that premises and other general facilities across the UK, are maintained to the highest standard. As part of your role, you will trouble shoot and provide fixes where necessary, in line with Health and Safety regulations.

Where you’ll work:

We operate a hybrid working model combining remote working with some days in our modern Leeds city centre office.

What you will be doing

  • Office porterage as required, including office and furniture moves and working with IT Service desk as required
  • Carrying out periodic Health & Safety Checks in all centres including risk assessments
  • Maintaining printer/stationery stock levels and communicating with suppliers
  • Monitor all required planned and reactive maintenance at each centre, using approved suppliers or contractors
  • Carry out building and meeting room checks daily
  • Ensure all floor plans are updated regularly
  • Ensure any contractors onsite have appropriate work permits and documentation
  • Ensure all mail delivered to StepChange is date stamped, sorted and delivered to the right department
  • May require travel to other FCC centres
  • Carry out general maintenance activities as required including the use of hand tools
  • Lamp repair and changing

  • Plans, organizes, maintains and manages the operations and reliability of YWCA facilities (15 facilities (1 multi-use site -McNabb Street),( 1 multi-use site – Ottawa St. North) 10 group homes, Phoenix Place, 2 independent living facilities and 11 childcare sites within schools) and general infrastructure systems;
  • Manages and provides guidance to staff and/or vendors and contractors in day to day repair, maintenance and cleaning of all YWCA facilities and sites;
  • Provides facilities and operational input to the Director, Building Services on major/minor capital projects, remodel-improvement projects;
  • Administers, plans and prioritizes work orders and provides efficient and effective communications to clients and vendors/contractors on required repairs and preventative maintenance;
  • Establishes and implements work programs for startup/shutdowns and preventative maintenance of facility areas;
  • Responsible for equipment maintenance, including repair of all major equipment and systems (e.g. HVAC, plumbing, electrical, mechanical, security systems);
  • Establishes and monitors preventive maintenance processes and programs and facility inspection processes for on-going review of maintenance work by agencies having jurisdiction;
  • Develops policies and procedures, ensures compliance and escalates as required;
  • Verifies equipment, materials and projects conform to applicable standards, procedures and by-laws;
  • Ensures all site management and operations practices follow YWCA, client and Ministry standards (e.g. building code, fire code, public health requirements and regulations), as required;
  • Performs monthly reporting, forecasting and asset management on all sites;
  • Develops and implements a portfolio/project management plan, and delivers management reports as required;
  • Updates and maintains accurate records and official documentation as per the record retention plan;
  • Maintains and updates standard operating procedures (SOPs) and emergency response documentation as required;
  • Manages and monitors customer service quality and implements improvements where needed;
  • Manages, negotiates, monitors, documents and evaluates external vendors’ and contractors’ services to ensure terms of agreements are met, quality services are delivered and the YWCA receives good value;
  • Enforces vendor and contractor accountability and contract compliance, tracks all contractor calls and routine service invoices and ensure all invoices are received and processed in a timely manner;
  • Develops, maintains and controls cleaning, maintenance and refurbishment expenditures;
  • Develops and manages annual operating budget, develops strategies where variances identified;
  • Directly manages Maintenance and Front Desk employees including recruiting, training and evaluating performance, indirectly manages vendors and contractors;
  • Works to build a strong Building Services team, defining annual goals and service standards;
  • Maintains high level of confidentiality when working with employee and contract information;
  • Oversees on-call procedures of the Facilities Department and participates in the on-call rotation with the Facilities team to support emergency service needs of YWCA sites after hours, weekends and holidays;
  • Oversees the work of Front Desk support at 2 multi-use sites for clients, visitors and other stakeholders accessing services and facilities;
  • Manages and monitors customer service quality and implements improvements where needed;
  • Leverages external parties ( e.g. contractors, consultants) to achieve specific results( e.g. projects, building maintenance);
  • Responsible for ensuring the required Infection Prevention and Control ( IPAC) supplies and equipment are available and meet required standards, including but not limited to Personal Protective Equipment (PPE), for infection control and emergency procedures in pandemics, epidemics and/or infectious disease outbreaks at YWCA Hamilton facilities;
  • Demonstrates and models strong leadership behaviors as a member of the managementteam;
  • Ensures that all permits and licenses are obtained and up to date;
  • Understands emerging trends, leading practices, industry professional standards;
  • Fosters a safe and healthy work environment; ensures employees comply with health, safety standards that meet or exceed legislated requirements;
  • Supports YWCA Hamilton mission, vision and values;
  • Perform other duties as required.

WORKING CONDITIONS:

  • Works a standard 37.50-hour work week;
  • Regular visits and inspections of facilities and construction sites;
  • Regular on-call emergency coverage required (e.g. HVAC issues, floods).

Qualifications

  • Completion of 2 years’ college in building services or related building construction field or equivalent;
  • Minimum 5 years’ experience in skilled trades and/or building maintenance, with 3 years’ supervisory experience with demonstrated leadership skills in facilities management for a broad portfolio of properties (residential, commercial, recreational, corporate, aquatics, institutional);
  • Knowledge in building services, building maintenance and contractor management;
  • Must be able to lead and work from a feminist, anti-racist / anti-oppressive perspective;
  • Must provide a current Criminal Record Judicial Matters Police check or willingness to obtain at own cost;
  • Must have current Standard First Aid and CPR certificate or willingness to obtain at own cost;
  • Excellent communication skills;
  • Ability to travel to and inspect all YWCA Hamilton facilities and work sites, and work a schedule that includes regular on-call emergency coverage;
  • Bilingual English/French or other languages an asset.

The Position

Oversee capital build-out and process improvement projects from design through regulatory preparation with a focus on Operations involvement. Serve as project point person/lead with specialized subgroups from various internal and external disciplines. Accountable for building the strategic organization to support the design, construction and implementation of all new buildings, facilities and utilities through release and turnover to system owner. This is a key role integrated into the project management and execution team accountable for managing strategic projects through oversight of a large project team to include NNPILP employees & contingent workers (contractors).

Essential Functions

  • Design, establish, & maintain an organizational structure & staffing to effectively accomplish the goals & objectives of the project, as well as recruit, train, oversee, & deploy technical & functional staff
  • Oversee one or more complex projects originating within the Operations Department (Manufacturing, Process, Facilities Engineering, Project Management/cLEAN, etc.) and acting as conduit from project conception through regulatory submission
  • Assist with steering committee leadership on large multidisciplinary projects
  • Ensure consistency with strategies as communicated from senior management and liaise with customers at project level to include the project sponsor and senior management to drive timely activity, integration, productivity, and efficient use of resources to meet requirements
  • Confirm all compliance requirements and guide project appropriately to ensure job duties and responsibilities are being performed in a compliant and ethical manner; in accordance with all applicable healthcare laws, regulations, and industry codes
  • Provide support and project management training for staff
  • Facilitate communication as appropriate to all involved and effectively manage individuals with a vested interest in the project or initiative
  • Establish appropriate Key Success Indicators and manage trade-offs between scope, quality, time, and cost
  • Track and report progress and forecast final targets
  • Proactively manage and communicate risks to prevent delay &cost impacts to projects, to include preventing critical path or unexpected items from derailing project through documenting and communicating as appropriate to management staff

Physical Requirements

May move equipment &/or supplies weighing up to 33 pounds within the facility using various body positions. May be required to be on your feet for up to a 12-hour shift. May required corrected vision to 20/20 or 20/25 based on role. May require color vision based on role. May require the ability to work in loud noise environments with hearing protections.

Development of People

Supervisory, ensure that reporting personnel have Individual Development Plans (IDP), with annual goals and measurements that are consistent with the priorities of the business, and that interim reviews are held so that their work is focused on those priorities, and they understand their level of accountability for results and the measurement process. Ensure that the IDP forms include completed learning and aspiration plans and are in place for all reporting personnel to enable the achievement of goals and capability to assume increased levels of responsibility. Manage the application and communication of all Novo Nordisk policies, procedures, and Novo Nordisk Way.

Qualifications

  • Bachelor’s Degree in Engineering, Science, Project Management, Construction Management, or relevant field of study from an accredited university required
  • Master’s degree in Engineering, Science, Project Management, Construction Management, or relevant field of study from an accredited university preferred
  • PMP (Project Management Professional) certification preferred
  • Minimum of ten (10) years of proven & successful project management and/or construction management experience required
  • Minimum of seven (7) years of direct supervisory experience required
  • Minimum of seven (7) years of related experience in a cGMP regulated pharmaceutical or biotechnology industry required
  • Knowledge of organizational structure, staffing patterns & job design required
