The Admin Tech IV – Permits & Citations performs highly responsible and complex secretarial, administrative, and customer service duties with a focus on intake and processing of concealed handgun permits and processing of incoming traffic citations. Individuals in this position report directly to the Administrative Manager.

Schedule: Mon-Fri 8am-5pm

Job Duties:

  • Types and composes confidential and specialized letters, memos, charts, reports, or other types of documents and correspondence on a word processor or typewriter.
  • Compiles and verifies complex and/or technical information for processing. Prepares reports, charts or tables from general specifications to present information in an easy to read format. Researches and assembles a variety of data from office records, resolutions, or orders to incorporate into various reports.
  • Interacts with the public and people from other departments in person or over the phone to handle transactions, research and answer technical/specific questions, provide information, or resolve problems.
  • Organizes and coordinates assigned projects’ logistics and resources to meet all deadlines and maintain quality. May be required to work at a remote location and take responsibility for day-to-day administration of a program.
  • Categorizes and maintains manual and/or computerized filing systems; creates tracking systems and forms; enters data; cross-indexes and files documents and books alphabetically, numerically or by other designated classification. May supervise or act as lead worker to train employees and coordinate work of others. Makes use of available tools to improve efficiency and accuracy of work; analyzes needs and recommends improvements.
  • Answers the telephone, screens and routes calls, provides public with general information regarding department services, and responds to general public requests.
  • Receives, tabulates, and accounts for fees and other monies received by the department.
  • Handles confidential and sensitive information on a routine basis.
  • Confers with management to keep them informed on key issues to obtain their support and approval.
  • Performs those day-to-day activities that are required to keep the department (program) functioning effectively, but are not specifically related to routine assignment.
  • Assists department management with various special projects or programs.
  • Acts as the contact for Concealed Handgun Permit telephone calls and customer service requests.
  • Accepts all CHP applications and ensures that all necessary supporting documentation is attached.
  • Completes fingerprints and photos for all CHP applicants.
  • Responsible for sending off all CHPs to CBI for background investigation and clearance. Makes sure that all proper and necessary steps have been completed by the required dates..
  • Works with the Sheriff to obtain signatures for approval. Inputs all required CHP information into required spreadsheets and software. Creates all CHP IDs.
  • Ensures that all Concealed Handgun Permit processes are up to date with Colorado Revised State Statutes.
  • Processes all incoming traffic citations and summons.
  • Tracks all payments of outstanding citations and summons.
  • Will act as a backup in civil sheriff sale process.
  • Performs other related work as required.

Qualifications:

  • Five years of increasingly responsible clerical experience
  • High school diploma or equivalent; and some continuing education in secretarial science, business, or job-related; or any combination of education and experience which produces the required knowledge, skills, and abilities.
  • Excellent oral and written communication in English. Excellent spelling, punctuation and grammar,
  • Ability to speak Spanish preferred.
  • Ability to operate a computer and/or typewriter accurately and rapidly. Proficiency with other office equipment.
  • Ability to type a minimum of 50 words per minute.
  • Proficiency with Microsoft Office and/or Google Suite.
  • Knowledge of general office procedures and practices.
  • Ability to perform numerical calculations to obtain totals, balances, and verify information from complex forms and transfer to computers or manual reports.
  • Ability to effectively interact with internal staff, citizens, and other County officials and staff in order to give and extricate information in a courteous and friendly manner.
  • Ability to organize and prioritize tasks.
  • Ability to analyze, integrate and interpret data from various sources, and to implement programs.
  • Ability to concentrate and pay close attention to detail with constant breaks in concentration associated with answering phones or speaking in person to citizens requiring assistance.
  • Ability to communicate a variety of complex information to a wide variety of intellectual levels.
  • Ability to work in a fast-paced environment with heavy workloads
