Mission and Objectives

  • Provide administrative Support through the management of personnel files, recruitment and onboarding as well as supervision of housekeeping staff to enhance effective service delivery.

Tasks & Responsibilities

  • Assigns work, provides direction to staff and ensures that assigned tasks are completed.
  • Ensures effective and appropriate staff coverage.
  • Monitors the performance of staff. Provides feedback on their performance and conducts performance evaluation.
  • Performs a variety of secretarial duties such as drafting and typing routine correspondence, arranging meetings and taking minutes.
  • Maintains a variety of financial records such as petty cash fund, purchase orders and cheque
  • requisitions. Provides input into budget formulation.
  • Participates in the recruitment and selection of staff by performing duties such as advertising vacancies locally, screening resumes, interviewing applicants and providing input on selection.
  • Evaluates, develops and recommends office procedures and practices to senior management. Ensures that approved office policies, practices and procedures are understood and followed.
  • Maintains staff and program information using spreadsheet and/or database software.
  • Performs other related duties as required.

Payroll Management:

  • He captures the variable elements of the payroll in Homer
  • He validates the requests of installments and records them on Homer,
  • He collects the attendance sheets and notes the various absences, collects overtime cards and checks their validity, and enters these in the Homer payroll software he/she establishes the monthly pay slips
  • He/she prints payslips and gives to staffs and files acknowledged copy
  • It publishes the ballots and verifies that each ballot is correctly established,
  • He has checked and targeted salary listings by the logistician-administration or field administration manager,
  • It prints the bulletins and closes the pay of the month. At the end of the contract, he establishes the balances of all accounts
  • It verifies the rights to paid holidays, enters the variable elements of the salary into the payroll software,
  • He causes these elements to be targeted and transmitted to the employee.

Administrative and Accounting Management:

  • He/she in charge of accounting management under the supervision of the logistics and
  • administration manager and under the responsibility of the Accountant, in strict compliance with
  • ALIMA internal procedures
  • He reports the inconsistencies to the Accounting Coordinator or the Field Administration Coordinator.

Policy Implementation:

  • Implementation of prevention measures against abuse of power, gender-based and sexual violence:
  • Ensures that his/her team, partners and community members are aware of ALIMA’s policy and have access to information (complaint escalation mechanism, focal point…).
  • Ensures that team members and partners involved in the project (Ministry of Health, national partners, etc.) follow training and awareness sessions and apply the rules for preventing abuse.
  • Facilitates the organization of training and awareness sessions
  • Implements standards related to the prevention of abuse of power, gender-based violence and sexual violence.
  • Contributes to creating and maintaining a nurturing and protective environment for his/her team, community members and project partners.

Experience and Skills
Experience:

  • Degree / HND in Accounting, Business Admin or another related field.
  • At least 2 years of experience in administrative duties preferably with ALIMA or other INGOs

Required Skills:

  • Essential computer literacy (Excel, Word, Outlook and Internet)
  • Well organized with good negotiation and communication skill
  • Ability to work in close collaboration with MOH staff
  • Can work and create teamwork, flexible, and committed to the assigned position
  • Ability to work as part of a team, a part of multi-cultural and multi-disciplinary team, in emergency and under pressure, to manage stress easily and result oriented
  • Interest in and commitment to ALIMA’s activities.

Languages:

  • English language
  • Local language will be a plus

Conditions

  • Contract term: contract under Nigerian law, 4 months renewable with 1months’ probation. Level 6.

Position Summary

Search is seeking Project Officers with some experience in digital peacebuilding for a consortium project in Bauchi, Plateau, and Gombe. The role will specifically provide program implementation support for a 24-month project funded by the United States Department Bureau of Democracy, Human Rights and Labor (DRL). The project will be implemented in consortium with an implementing Partner – The Youth Leaders Network (YLN) with the overall goal of empowering diverse youth in Bauchi, Plateau, and Gombe States to advance inter-religious tolerance and FoRB. The position requires basic experience in conflict transformation, peacebuilding, digital literacy, and social media engagement in addressing the root causes of conflicts related to FoRB and inter-religious tolerance which are driven by young people. The position holder must be organized and experienced in program implementation, utilizing digital and social media listening tools in responding to real-time conflict, peace efforts, security, and the overall aim of conflict transformation. This position will be based in our Bauchi office, with frequent travels to Gombe and Plateau States. She/he will work under the direct supervision of the Project Manager. The position holder will support the project implementation in collaboration with a team of Officers and Assistants.

Roles and Responsibilities

  • Coordinate with the Project Manager in establishing the youth led advocacy platform in Bauchi State
  • Coordinate with the Project Manager and support units in engaging youth activists in Plateau, social media influencers and community stewards in Bauchi, Plateau and Gombe
  • Organize monthly meetings with the youth led advocacy network and other platforms supporting in partnership with Youth Leaders Network.
  • Participate and share analysis of snapshots and other reports with the youth network and other stakeholders
  • Support the utilization of social media platforms and other online resources to connect young people from different religious backgrounds and facilitate dialogue and exchange. This could include creating online communities or forums where young people can discuss their beliefs, practices, and challenges in a respectful and open-minded manner.
  • Support the development of educational materials and resources, such as videos, podcasts, and interactive quizzes, that teach about the beliefs, practices, and histories of different religious communities in the state. These resources could be shared through social media platforms and other online channels.
  • Lead implementation of initiatives that utilize virtual and augmented reality technologies to create immersive experiences that bring young people from different religious backgrounds together and facilitate dialogue and understanding.
  • Use data analytics and other digital tools to track the impact and effectiveness of inter-religious programs and activities, and make adjustments as needed to ensure that they are meeting their goals and objectives.
  • Work with tech companies and other organizations to create partnerships and collaborations that can support the use of digital tools to promote inter-religious understanding and respect for diversity among young people in the state.
  • Engage with young people directly to gather feedback and ideas about how digital tools can be used most effectively to promote inter-religious understanding and respect for diversity in the state.
  • In collaboration with the Communications Coordinator, document key success stories from the project’s engagements.
  • Support programmatic and logistical support and assistance to the Project team
  • Provide weekly and monthly progress reports to supervisor and other country teams

Core Competencies:

  • Demonstrate integrity and promote Search values and ethical standards;
  • Promote the vision, mission, and strategic objectives of Search;
  • Demonstrate capacity to adapt to a multicultural context, tolerance, and respect for issues related to gender, religion, race, and nationality;
  • Proficiency in the use of MS Office
  • Demonstrate capacity in developing concept notes for activities and engagement with youth groups and youth led organisations.

Education

  • A degree in conflict resolution, peace studies, peacebuilding, conflict management, or related field;
  • Additional education in conflict management, peacebuilding, and conflict resolution

Required Experience

  • At least 3 year’s experience as a Project Officer, two of those years should be in the non-profit and NGO sector in relevant topics (as per the above-mentioned list) for a diverse range of audiences (from communities to authorities);
  • Understanding of and experience in the use of Google Analytics, real-time monitoring and tracking, and utilization of social media platforms for peacebuilding.
  • In-depth knowledge of the conflict and FoRB context in Bauchi, Plateau, and Gombe State

Other Relevant Requirements

  • Good knowledge of the local languages will be an asset.
  • Knowledge of civil society organizations, government agencies, private sector companies, and international development agencies, with experience working in partnership within some of these sectors;
  • Written and verbal communication skills including the ability to synthesize complicated policy issues into digestible products and to deal with both elite and popular media and specialist and non-specialist audiences;
  • Experience in partnership building, with experience in influencing stakeholders and establishing and maintaining strong partnerships;
  • Ability to work effectively in a team environment and strong interpersonal skills;
  • Commitment to Search’s aims and a clear understanding of the links between policy, lobbying, campaigning, and how policy change can be achieved through effective advocacy;
  • Organizational skills and attention to detail;
  • Ability to respond flexibly to opportunities and requests sometimes with little notice;
  • Ability to manage competing priorities in a rapidly changing environment;

Summary

  • The Finance & Admin Officer together with other finance and admin team members will implement efficient finance activities and provide efficient administrative support for all categories of staff and external stakeholders to provide administrative and logistics support in the office.
  • S/he will also work with the State Coordinator and other program team members in providing required support towards successful implementation of BA-Nigeria activities towards achieving the project objectives in a compliant manner.

Essential Duties and Responsibilities

In addition to the overall technical inputs to the project described above, specific duties and responsibilities include the following below:

  • Ensure procurement of goods and services for the project are done according to USAID and institutional rules and regulations.
  • Arrange for the repair and maintenance of office equipment and machinery to ensure that staff works effectively without any disruptions.
  • Provide necessary logistic support to prepare large meetings, trainings and workshops in the office and off-site.
  • Management of office fixed assets and inventory, ensuring all assets are tagged and updated in asset register and proper records are maintained for all office consumables to prevent waste and abuse. Carry out periodic asset physical asset verification and inventory stock taking.
  • Monitor budget expenditures against approved budgets.
  • Review purchase orders, time and attendance records and prepare necessary reports for the project finance and senior management team;
  • Ensures that all supporting documents are available and attached to the payment vouchers
  • Together with relevant staff ensure that travel & logistics, welfare and support needs of visiting guests are met;
  • Support in the maintenance and management of physical office space and project vehicles; including environmental cleaning, local transportation, maintenance of office equipment and appliances and meeting staff office needs;
  • Manage all field office petty cash transactions, ensuring proper documentation and physical cash control.
  • Withdraws cash from the bank for program activities and makes necessary disbursements after obtaining necessary approvals;
  • Ensure all travel and activity advances from the field office are retired as at when due; adequate support documentations are provided and all unused funds refunded to project account in a timely manner.
  • Prepare procurement documentation including RFQs, selection memos, local purchase orders, GRNs etc. using JHU/CCP formats
  • Prepares source documents for both cash and check field payments
  • Support the admin team in updating and managing vendor contracts and Service Level Agreements (SLAs);
  • Assist in processing vendor and consultancy invoices.
  • Ensure office stationary are always available and stockouts are avoided;
  • Work closely with relevant state staff to supervise and account for all safety equipment and supplies (First Aid and Fire extinguishers etc.) in all program offices.
  • Conduct routine checks on all safety equipment to ensure they are in good and usable condition, and make recommendations when needed;
  • Ensure PAYE and Withholding Taxes are remitted before the last day of the month to the responsible parties.
  • Additional duties assigned to by their supervisor.

Supervisory Responsibilities

  • Supervise the Finance and Admin Assistant and Driver(s)
  • Review and approve times heets for direct reports
  • Perform performance appraisals for direct reports.

Minimum Qualifications & Experience

  • Bachelor’s Degree or higher in a relevant field (Accounting, Economics, Business Administration or related Finance field).
  • 5 – 6 years of NGO experience is required. Experience implementing USAID funded projects in Nigeria is essential.
  • Languages Skills: Must be fluent in English.
