We are looking for a motivated and organized Human Resources Coordinator to join our team.
Position: Human Resources Coordinator
Job Status: Full-Time
Relationships:
- Reports to Onboarding & Benefits Manager
- Works closely with all exempt HR staff
- Works with third party vendors
- Interfaces with all employees, including physicians, officers, directors/supervisors and shareholders
Position Summary:
Provide exceptional customer service and act as an important partner to all HR personnel. Responsible for accurate and timely keying employee changes, processing new hire requests, onboarding assistance, verifications of employment, worker’s compensation, job postings, maintaining HR filing and other duties as defined below.
EAF Processing:
- Accurate and timely data entry of changes, terminations and other miscellaneous employee changes into ADP for all non-exempt and exempt staff.
- Analyze information for accuracy and follow up with questions if necessary.
Talent Management:
- Become a subject matter expert on the ADP recruiting module.
- Ensure job requisitions received contain proper approval.
- Post jobs within 48 hours, ensuring the job ad contains the correct information and appears properly on indeed and our website.
- Create sponsored jobs on indeed and custom job ads in special circumstances.
- Pause and take down requisitions as requested by leaders.
- Research old posted requisitions and close as needed.
- Keep the requisition tracking spreadsheet up to date.
Onboarding Assistance:
- Assist the Onboarding/Leave Specialist with onboarding activities such as processing new hire requests, producing offer letters, facilitating drug/TB and background testing, filing and processing I-9’s.
- Attend New Hire Orientation twice a month and participate as needed. Help create a warm and inviting initiation to the company.
- Back up Onboarding/Leave Specialist when she is out of the office.
Verifications of Employment:
- Think through all written and verbal, verification of employment requests, and responds timely and confidentially to those deemed within company policy.
- Coordination with ADP Employment Verification service as needed, to include educating employees on use of the system.
Workers Compensation:
- Manages Worker’s Compensation program to include: coordinating with leaders in case of a worker’s comp incident; filing the first report of injury if needed; working with the assigned claims adjuster to ensure all information requested is provided; reconciling workers compensation invoices and managing all recordkeeping; ensuring issues are addressed in a timely manner and steps are taken with the goal of keeping our workers compensation modifier low.
- Ensure compliance with OSHA tracking, annual filing and reporting requirements.
File Management:
- Owns personnel file management to include creating personnel and medical files as needed and files paperwork on an ongoing and timely basis.
- Under the direction of the Onboarding/Benefits Manager, purge files as needed on an annual basis following the Federal Guidelines for Record Retention.
Other Duties:
- Scans certifications, enters into ADP and generates quarterly report.
- Manage Tech Certification spreadsheet, issuing reminders to employee’s leaders 6 months prior to expiration date, etc.
- Completes annual MVR and OIG checks and reports findings.
- Order and distribute name tags
- Participates in the planning and implementation of employee events as needed.
- Other duties as assigned

Skills/Qualifications:
- Some college education preferred.
- Basic knowledge of Human Resources principles and procedures.
- Two years of Human Resources or similar experience preferred.
- Strong oral/written communication skills and attention to detail.
- Proficiency using the Microsoft Office suite.
- ADP experience a plus.
Physical Requirements:
- Requires the ability to speak, listen and communicate verbally and in writing. Primarily sedentary.
