Administrative Assistant, Corporate Governance

What You Get To Do:
- Provide administrative support – Using Microsoft 365 applications to create and maintain documents, spreadsheets and slides (Word, Excel, PowerPoint, Teams, SharePoint).
- Handle administrative functions that carry a high level of responsibility including executive calendar management, organizing meetings and conference calls, and correspondence with legal professionals.
- Create/update correspondence, filing and scanning.
- Prepare expense reports.
- Review, update, implement and maintain corporate records management system and electronic data for corporate records.
- Prepare and issue meeting notices, draft agendas, notify contributors/presenters.
- Upload material for Board, Board Committee meetings, and other meetings as required, and ensure books are regularly archived.
- Organize lunch, parking, video/teleconference, Board room set up/clean up, dinner and transportation (as required).
- Liaise with meeting secretary after meetings and ensure follow up items are completed.
- Maintain electronic files for each meeting.
- Any other duties related to the preparation and administration of Board and Committee meetings.
- Act as primary administrator of the electronic board portal and provide support to users
- Maintain user grids for the electronic board portal and maintain the electronic board portal resource center.
- Ensure Company Profiles are updated by each business unit annually.
- Ensure contact lists are kept updated.
- Assist with Annual General Meetings of shareholders, as required.
- Provide support for corporate events and functions, as required.
- Organize documents related to various corporate transactions and projects and assist with document distribution as required.
Who You Are:
- A bachelor’s or diploma degree in Business or Administration.
- 5-7 years of experience in a corporate environment in an administrative capacity and supporting a director level and up or a team.
- Experience preferably in a corporate secretarial or in-house legal department.
- Experience working with executives/boards of directors would be an asset.
- Have professional communication skills.
- Have strong organizational skills with an emphasis on attention to detail.
- Have a positive attitude and willing to take initiative.
- Ability to display tact, good judgment, and strong interpersonal skills around the handling of information of a confidential nature.
- Ability to prioritize and manage time to accomplish several tasks simultaneously.
- Ability to adapt quickly and maintain a high level of organization in a fast-paced environment.
- Must have excellent cross-functional skills and be willing to work as part of the Corporate Governance & Secretarial team as well as with the broader ATCO team, including with the Finance, Treasury, Human Resources, Corporate Communications and Internal Audit departments.
- Experience with Diligent and Workiva preferred.
- Understanding of common legal documents relating to corporations would be an asset.
